Key Responsibilities:

The primary role of the Administration and Logistics Coordinator, with the WV PNG TB Program, is to oversee and ensure the effective management of administrative and logistical operations to support all departments and project offices, which aims to provide essential support for program implementation and delivery.

Location:

  • Mt. Hagen, Western Highlands Province (X1)
  • Kimbe, West New Britain Province (X1)

Roles & Responsibilities

Procurement and Supply chain

  • Timely planning and project management for all administrative requirements for PR and provincial level interventions
  • Facilitate procurement request for the departments at the National Office.
  • Ensure that financial transactions specifically invoices are submitted monthly are within financial and administrative policies and procedures.
  • Ensure that all office practices are compliant with administrative & finance policies and procedures.
  • Assist in the event management
  • Vendor/ stakeholder management and documentation support.
  • Participate in contract negotiations as assigned by Administrative Supervisors
  • Manage timely payments of multiple technical technical consultants in this project.
  • Travel to provinces as needed
  • Assist in training new staff on WV Admin processes

Office/admin support

  • Ensure security protocols and procedures are followed in the day-to-day operations of National office.
  • Manage support services staff and ensure office is properly maintained/cleaned and stock levels (kitchen rations, cleaning detergents, office supplies) are well stocked.
  • Explore potential premises for rental (Office lease /international assignees) for rental/lease of property.
  • Ensure that Passports and renewals is tracked and action taken on time.
  • Ensuring overall up keeping of NO office/premises including reporting of any maintenance issues to the property manager.
  • Coordination with P&C and departments for facilitation of visa and work permits for international assignees
  • Oversee Administration officer who takes care of Team house arrangements for consultants or incoming IAs -
  • Manage team houses including reporting maintenance and repairs to property managers.

Staff support

  • Develop and maintain good working relationships with service providers to obtain the best rates.
  • Ensure integration of work with other team members in Administration unit.

Educational Qualification/Skills, Knowledge & Experience

  • At least 2 years work experience in administrative and logistical roles in the private sector, government or with NGOs.
  • Administrative, and some logistical duties.
  • Has high level of competency in using computers particularly MS office suite.
  • Sound oral, written and interpersonal communication skills
  • Team Player
  • Strong interpersonal skills & customer service
  • Self-Motivated
  • Experience with assets (office/equipment) management/safekeeping procedures
  • Certificate / Diploma in Business Administration; Certificate / Diploma in Office management

Working Environment / Conditions

  • The position requires ability and willingness to travel within PNG up to 20% of the time.
